How many guests are expected?
This may seem basic, but it’s essential to know your exact number of guests before you start creating your seating plan.
There’s no point in starting the placement process if you haven’t received responses to your invitations yet; it could waste a lot of your time!
Once you know the number of guests, you can use that information to determine how many guests you want to seat at each table and, consequently, how many tables will be needed.
Then, make sure that the number of tables matches what can be accommodated in your venue.
What is the shape of the tables?
The shape of the tables provided by your caterer or venue may also influence the creation of your seating plan:
- A round table can typically accommodate between 6 to 8 people, depending on its size.
- Aside from the specific case of the head table (which is for the bride and groom and their close family), guests are generally not seated at the ends of rectangular tables.
Every table shape has its advantages and disadvantages:
- Rectangular tables generally allow for more guests and facilitate conversations among your attendees, as they can sit facing each other.

An Alternative: Assign Only Tables

In this case, feel free to assign a table number to each guest while allowing everyone to choose their own seats. This way, your guests can sit with those they feel comfortable with, and it will save you the hassle of rearranging seating at the last minute.

It should be large, well-secured, and easy to read at first glance. For example, I recommend listing the names in alphabetical order for each table so that guests can quickly find their own.
Additionally, it is often the first decorative element of your reception area that your guests will see.
So feel free to decorate it with flowers and decorative accessories, such as flower walls, which your guests will also find in the dining area.
